There is free camping and meals at the race venue for volunteers so bear that in mind if you aren’t local and would like to make a weekend of it! No need to book or let us know, just come along and follow the signs/marshals and once settled in come to our race stores.
IF you are coming to the race venue to check in first, then our race stores area is the place you need to go to - this is the marquee in the campervan field, ‘behind’ the rugby clubhouse. what3words location You can also just go straight to the checkpoint location at the planned time and don’t necessarily NEED to come to the venue first!
This is a hired venue - you will be met by a member of venue staff at 7.15am to show you around and let you in - PLEASE get their contact details so you can let them know when you are leaving at the end of the day as the centre cannot be left open and un-attended.
Also, an email contact is; karen@sylviabeaufoy.org
Petworth CP
Is in the Sylvia Beaufoy Centre, about 30 mins drive from the race venue, and is the other (East) side of Midhurst via the A272.

The checkpoint is in the downstairs of the centre, in the large entrance hall and squash courts.
Aim to arrive at CP to set up for 7.15 am please
The CP supplies & equipment should arrive around then too
DROP BAGS are brought here for the runners - it is a good idea to have them organised so you can grab each runners bag as they arrive at the checkpoint please - ie in numerical order, and it has worked well to have them laid out in a separate room at the back of the centre, or even outside in the tennis court if it is dry, and to have a crew member (or 2) assigned to getting runners their drop bags. Once a runner has left, move their drop bag into a separate pile ready for collection later - this keeps them organised and makes it easier to find incoming runners bags as the amount of bags gets less!
Have a CP Crew member at the car park entrance to catch runners and make sure they don’t miss the CP - this person could also have the timing station maybe?
1st runner should be from 8.30am onwards
If you have a mini portable speaker and i-pod / phone you can play any music through then feel free to bring it for the checkpoint
RETIRING RUNNERS
Collect their timing dibber from them and keep safe as we need them back!
Call through via contacts sheet to organise pick up for them if they ned it
TEXT Gordon with their race number telling him they’ve dropped out - IMPORTANT - we need to know their whereabouts / status in the event
This checkpoint has a 3pm cut off - runners need to have left by this time or they will not make further cut offs. Please enforce this and gently stop people from continuing. This cut off has been know by participants and communicated via the website and info emails etc etc.
Also it can be good to phone the sweeper runner to see how they are getting on, and If the current sweeper is stopping at Petworth, then the next sweeper should be at the checkpoint and they can leave with the last runner before the cut off.
Last runner is usually around 3.30pm - you can use the timing link on the results page to see how many more runners are left to come to the CP, or phone the race timing contact via the contact numbers you have.
Event Crew T-shirts, Hi Viz & Event contacts sheet are in the CP supplies that are brought out to you. If you need re-supply, have queries or emergencies the phone numbers you need are on there.
Nicky normally comes round to help get the CP's set up so she will show you the ropes and the plan!
The race uses the PURPLE ‘Tail’ permanent way-markers for the Trail, and runners come to the CP via the A272 and cross this at the traffic lights to come into the Sylvia Beaufoy car park and into the CP. On leaving they cross the car park diagonally, go down the steps and cross the road at traffic lights.
Plus, don’t forget - we like to give our helpers FREE ENTRY to next years race! If you would like to run in next years Serpent Trail then email Tom ( tom@freedom-racing.co.uk ) and we can get you added to a race as thanks for your help in coming to be part of the event and encouraging and looking after all the runners so well! :-)
